Privacy Policy

This Privacy Policy explains how Relaxe LLC d/b/a VoiceCore Solutions v8 ("VoiceCore," "we," "us") collects, uses, and protects information in connection with our automated phone answering service (the "Service"). It applies to our website, our answering service, and any text messages we send.
Who this policy covers
Two groups of people appear in our systems, and they are treated differently:
- Our customers — the businesses that subscribe to VoiceCore. We hold their account and billing information.
- Callers — the people who call our customers' business lines. We process their call on our customer's behalf, as a service provider. Our customer, not VoiceCore, decides how that information is ultimately used.
Information we collect
- Account information: business name, contact name, email address, phone number, service address, and billing details.
- Call data: the caller's phone number, the date, time, and duration of the call, an audio recording where recording is enabled, and a written transcript of the conversation.
- Information a caller provides during a call: name, callback number, service address, the nature of their request, and appointment preferences.
- Website data: pages visited, approximate region, browser type, and referring page.
How we use information
- To answer, route, and transcribe calls for the business you dialed.
- To book appointments and deliver call summaries and appointment confirmations to our customer.
- To send transactional text messages, where the recipient has consented.
- To bill our customers and support their accounts.
- To monitor quality, diagnose faults, and improve accuracy.
- To meet legal, tax, and regulatory obligations.
Text messaging and your mobile information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Phone numbers collected for SMS purposes are used solely to deliver the messages the recipient asked for.
We share mobile information only with the subcontractors that make message delivery technically possible — our telecommunications carrier and messaging platform — and only so they can transmit the message. They are contractually barred from using it for any other purpose.
Message frequency varies with call volume. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance.
Call recording
Texas is a one-party consent state, but many calls cross state lines into two-party consent jurisdictions. Where recording is enabled on an account, callers are notified at the start of the call. Our customers are responsible for the recording settings they choose on their own account.
How we share information
We do not sell personal information. We disclose it only to:
- The customer whose business line was called — this is the entire purpose of the Service.
- Service providers that operate our infrastructure: telephony and messaging carriers, our voice AI and language model providers, hosting, and payment processing. Each is bound by contract to process data only on our instructions.
- Authorities, where required by law, subpoena, or to protect against fraud or imminent harm.
- An acquirer, in the event of a merger or sale of assets, under the same commitments made here.
Retention
Call recordings and transcripts are retained for the period selected on the customer's account, and by default for 90 days, after which they are deleted. Account and billing records are kept as long as required by tax and accounting law. A customer may request earlier deletion of their call data at any time.
Security
Data is encrypted in transit and at rest, and access is limited to personnel who need it to operate the Service. No system is perfectly secure, and we do not claim otherwise.
Your choices
You may request access to, correction of, or deletion of personal information we hold about you, and you may opt out of text messages at any time by replying STOP. Texas residents have rights under the Texas Data Privacy and Security Act; if you are a caller rather than a customer, we will route your request to the business you called, since they control that record.
Children
The Service is sold to businesses and is not directed to children under 13. We do not knowingly collect their information.
Changes
We will post any revision here and update the effective date above. Material changes will be communicated to active customers by email.
